Start with the hiring work your team needs to complete. A long feature list is less useful than a demonstration that follows one role from preparation through review and handover.
Use the checklist below with a fictional role and redacted examples. Record which steps were demonstrated, which require configuration, and which remain unanswered.
Describe the process before the product
Write down who creates a role, who approves it, who reviews applications and who communicates the next step. Include the handover into employee onboarding if that is part of your requirement.
- Record your company size, expected hiring activity, user roles and required languages.
- List the exact email, calendar, meeting and document workflows you need.
- Separate essential requirements from preferences. Define evidence that would show each requirement is met.
Run one realistic demonstration
Use the same scenario for each shortlisted vendor. For example: create a role, review two fictional applications, request structured feedback and move the successful candidate into the next step. Include an incomplete application so you see how missing evidence is handled.
- Ask the demonstrator to show the resulting saved record and its history.
- Ask what changes when a manager has less access than a recruiter.
- Check whether an invitation was merely prepared, accepted by a provider, or actually received.
- Try a mobile candidate journey and a keyboard-only review.
Record evidence for each requirement
| Area | Question to ask | Evidence to request |
|---|---|---|
| Workflow | Can our team follow its stages and approvals? | A saved example using the proposed configuration |
| People and access | Which records can each role see and change? | A demonstration using distinct roles and scoped records |
| Language | Which parts of each journey support each language? | Screens from the website, candidate flow, assessment and communications |
| Integrations | Is our exact provider and action supported? | Current supported scope and configuration requirements |
| Commercial terms | What would our intended use cost? | Written inclusions, usage conditions and recurring or one-time charges |
| Data and exit | What can we import and later export? | A sample mapping, limitations and an exit process |
Where HireHint fits in the evaluation
HireHint brings applicant tracking and employee workflows into one platform, with assessment, interview, survey, performance and AI-assisted recruiting areas. Availability depends on the relevant plan, role, configuration and supported providers.
Use the product pages and request a demonstration of your exact workflow. Obtain current commercial terms and verify migration and integration requirements before making a decision. Keep unanswered requirements visible rather than treating them as supported.
